About This Opportunity
Reporting to the senior director, the director, Workplace Experience and Services will be responsible for design, coordination, and implementation of the workplace user experience across the Foundation’s three facilities with a specific focus on activities in three areas:
- Workplace Design and Access: space design and planning, optimization, space acquisition, relocations, office improvements, maintenance, furniture, accessibility and navigation, environmental responsibility, and other organization use of our space. Includes a focus on wellbeing program development events in support of employee social, emotional, and physical health.
- Hospitality: café and catering, office supplies (in person/remote), visitor services, mail, printing and duplicating services, workplace amenities (quiet room, lactation room, fitness center, walking room).
- Media Services: audio/video/webinar onsite and virtual support and development of visual communications materials to support facility operations, events, and staff needs.
As with staff at all levels of RWJF, directors are expected to demonstrate experience and a commitment to equity and to the Foundation’s mission and Guiding Principles.
Essential Job Responsibilities
- Assist in strategic vision to enhance workplace user experience in areas of workplace design, hospitality, and media services for all RWJF facilities.
- Ensure workplace services, programs, initiatives, and support are integrated into day-to-day operations and support the overall mission, goals, and objectives of the Foundation.
- Establish standard operating procedures; monitor and evaluate operational and service effectiveness, and make changes required for quality improvement.
- Manage the work of team members; coach for development.
- Lead, conduct, and manage the day-to-day operational and experience checkpoints and engagements with customer champions in the C-suite and executive leadership. Serve as an escalated point-of-contact for assistance with resolution of workplace access issues.
- Provide subject matter expertise on the technologies used in the workplace.
- Manage and coordinate the unit operating budget and expenditures, leased properties, and the management of financial control systems.
- Create and implement innovative and continuous process improvement strategies aimed at raising quality of services and workplace experience, and accessibility enhancements for employees, trustees, and external partners.
- Develop and implement initiatives aimed at improving health and holistic wellbeing of employees, as well as operational oversight of fitness and dining services.
- Manage the efficient and optimal use of the Foundation’s facility space resources.
- Perform other duties as assigned.
Minimum Requirements
- Commitment to racial and health equity and the Foundation’s vision, values, and Guiding Principles.
- Experience working in and fostering an inclusive environment, working effectively as part of a multidisciplinary team with persons from diverse cultural, social, and ethnic backgrounds.
- Ten years of related work experience coupled with progressively greater responsibility in direct management and leadership experience; supervision, as well as extensive project and customer service management; nonprofit work environment preferred.
- Experience leading teams to deliver high-touch internal/external customer experiences.
- Knowledge of multiple functions and principles, including dining operations and project management.
- Experience with space utilization (moves/shared workplace/reconfiguration) strategy and technology.
- Proven ability to design, build, and resource a team; coach, develop, and guide team members; conduct talent assessments; manage conflict, and resolve problems to ensure optimal outcomes for objectives and priorities.
- Ability to design change management planning beginning with the diagnostics through implementation. Demonstrated ability to present ideas effectively; communicate clearly and persuasively with strong presentation skills for the purposes of bringing people along.
- Strong written and verbal communications skills; able to synthesize material and focus quickly on the essence of an issue; to identify major opportunities in a specific area; to see the big picture.
- Strong knowledge and demonstrated application of project management methodologies and approaches to the end-to-end oversight, drive, and management of a portfolio of projects.
- Strong diagnostic, analytical, and quantitative skills with a demonstrated track record for translating data into strategic guidance.
- Demonstrated ability to understand and connect the day-to-day priorities, objectives, and activities to priorities, objectives, and activities of the Foundation to optimize results.
- Strong technical skills, including experience with computer-aided design and drawing (CADD) systems or other similar space management software, building access software, hybrid applications, or equipment such as NeatBar Pro, Zoom, audio/video conferencing systems.
- Ability to travel, as needed, including to Foundation offices in New York City and Washington, D.C.
- Bachelor’s degree in business administration, management, or a related field, or the equivalent combination of education, experience, and/or training.
Physical Requirements/Working Conditions
The director will perform job duties in a typical business office environment. Specific physical abilities required by this job include operating basic office equipment. Will be required to attend meetings, potentially both in person and off-site via phone or videoconference. This position is assigned to our Princeton, N.J. headquarters.
As of January 1, 2023, the Foundation has implemented a Hybrid: Flexible Purpose operating model. All RWJF employees will be required to come into Foundation offices during the year for purposes related to their position such as critical tasks (e.g., building operations, grantee meetings), organizational events (e.g., training and development), and internally focused team activities. This position will require the incumbent to be on-site in a Foundation office three to four days per week.
Salary
