About this Opportunity
In recent years, the Robert Wood Johnson Foundation has established a new organizational knowledge management (KM) function. Reporting to the knowledge management officer as part of the Grants Management department, the KM coordinator will support activities and projects associated with institutional knowledge organization, access, and sharing. The KM coordinator will play a significant support role in efforts to facilitate effective and equitable use of knowledge in support of the Foundation’s vision and objectives. Ideal candidates for this position will have experience supporting multiple types of knowledge and data; interest in KM-related systems and processes; and passion toward continual learning and professional development and growth.

Essential Job Responsibilities
- Collect knowledge products developed across RWJF and manage or support systems and processes related to knowledge organization, access, and sharing.
- Support development and management of RWJF’s organizational taxonomy and application of taxonomy for RWJF grants and knowledge products.
- Support various KM projects. Current projects include an RWJF migration to Microsoft 365, including SharePoint site, page design, content development, and use of Microsoft Power Platform automation tools that support content-related workflows.
- Support management of RWJF’s enterprise search platform, and promotion of priority content within the search environment (e.g., “Recommended Link” lists and “Featured Results”).
- Support development of content metadata elements to enable desired user experience across RWJF’s SharePoint and enterprise search environments.
- Review SharePoint site pages and content to monitor quality and activity levels. Collaborate with site owners to help facilitate necessary updates.
- Support staff training on KM and content management platforms. Ensure best practice in usage and create training and support materials (e.g., how-to guides, demo videos).
- Support data analysis related to KM, programmatic, or Equity, Diversity, and Inclusion objectives.
Minimum Requirements
- Commitment to racial and health equity and the Foundation’s vision, values, and Guiding Principles.
- Experience working in an inclusive environment working effectively as part of a multidisciplinary team with persons from diverse cultural, social, and ethnic backgrounds.
- Minimum of two years of experience in a knowledge management function or related discipline involving similar capabilities (e.g., content management, information management).
- Experience with various technology platforms to support knowledge work.
- Microsoft 365 communication and collaboration tools (Microsoft 365 Fundamentals certification or equivalent experience preferred).
- SharePoint Online admin experience, including modern site design, content management, metadata management, and development of custom workflows, forms and apps.
- Applications supporting management of organizational data (e.g., content or grants management systems, Salesforce); data reporting and/or visualization experience a plus.
- Microsoft 365 communication and collaboration tools (Microsoft 365 Fundamentals certification or equivalent experience preferred).
- Experience with project management fundamentals and supporting software (e.g., Smartsheet, Planner).
- Intellectual curiosity, desire to continually learn new KM-related disciplinary and technical skills that support functional and staff development objectives.
- Strong critical thinking and problem-solving skills.
- Strong writing, presentation, and oral communication skills. Able to present information and materials in an understandable manner to persons in a variety of job levels.
- Able to lead conversations and meetings as needed.
- Demonstrated experience handling multiple priorities effectively, with strong organizational and time management skills with an attention to detail.
- Strong interpersonal skills with positive attitude, collegial style and demonstrated success working with teams, which include a broad range of internal staff and external collaborators.
- Dedicated team player who considers others’ opinions and adapts to change effectively.
- Demonstrated maturity, sound judgment, and ability to take responsibility for decisions.
- Education or experience equivalent to a bachelor’s degree in appropriate field (e.g., library science, knowledge, or information management).
Physical Requirements/Working Conditions
The KM coordinator will perform job duties in a typical business office environment. Specific physical abilities required by this job include operating basic office equipment. Will be required to attend meetings, potentially both in person and off-site via phone or videoconference. Some domestic travel may be required. Salary
